Important information about how we work, project timelines, payments and what’s included in each service.

 

Terms of Service

 

1. Overview

These terms explain how I work, what you can expect from me, and what I need from you to deliver your project smoothly. By starting a project with Hightime Designs, you agree to the points below.

 


 

2. Project Scope

All projects begin with an agreed brief, price and outline of deliverables.

Any extra work outside the original scope — such as additional pages, extra revisions, new features or additional design concepts — will be quoted separately before work continues.

 


 

3. Revisions

Each project includes a set number of revisions, outlined during the proposal stage.

Extra revisions beyond the agreed amount are no problem, but will be billed at my standard hourly rate unless we agree otherwise.

 


 

4. Content & Materials

You are responsible for providing text, images, brand assets and any other content required for the project.

If you need help with copywriting, photography, sourcing images or creating content, I can provide this as an additional service.

 


 

5. Timelines

I’ll always give you an estimated start date and completion timeframe.

These timelines depend on you providing feedback and content on time.

Delays in supplying assets or feedback may push the timeline back.

 


 

6. Payments

  • A deposit (usually 25–50%) is required before work begins.

  • The final balance is due upon project completion and before the final files/website handover.

  • For monthly retainers, payment is due at the start of each month.

  • Late payments may pause the project.

 

 


 

7. Website Projects

 

7.1 Hosting & Ongoing Responsibility

Where hosting is provided by me, it is supplied under a Managed Hosting or Hosting Care plan.

Managed Hosting covers the hosting environment only (keeping the website online and supported at a server level). It does not include website updates, changes, backups, or content management unless a Hosting Care plan is in place.

If no hosting or care plan is agreed, responsibility for hosting, updates, security, and backups passes to the client once the website is handed over.

 

7.2 Updates, Maintenance & Backups

Website updates, maintenance, and backups are included only where a Hosting Care plan is active.
 
If no care plan is in place:
•WordPress core, theme and plugin updates are the client’s responsibility
•Backups are the client’s responsibility
•I am not liable for issues arising from outdated software, security breaches, or data loss
 
Care plans are provided on a fair-use basis and are subject to the scope described on my website.

 

7.3 Plugins, Themes & Licences

Some premium plugins, themes, or third-party services may require ongoing licence fees. These are the client’s responsibility unless explicitly stated otherwise in writing.

Failure to renew required licences may result in reduced functionality or loss of features.

 

7.4 Hosting, Domains & Email Services

Hosting, domains, and email services are billed on a monthly or yearly basis, depending on the service agreed.

Renewal or recurring invoices are issued in advance of the renewal date. If payment is not received by the due date, I reserve the right to suspend or cancel the service.

Non-payment may result in website downtime, loss of email access, or domain suspension.

I will always make reasonable efforts to provide notice before suspending any service; however, it remains the client’s responsibility to ensure payments are made on time.

 


 

8. Design Rights & Usage

Once the final invoice is paid:

  • You own the final approved artwork, website, or delivered files.

  • I retain copyright to all working files, unapproved concepts and behind-the-scenes project assets.

 

You are free to use the final approved design wherever you like.

 


 

9. Portfolio Use

I may showcase the completed project in my portfolio, website or social media, unless you request otherwise before the project begins.

 


 

10. Cancellations

If either party decides to stop a project:

  • Work completed up to the cancellation date must be paid for in full.

  • Deposits are non-refundable once work has started.

 

 


 

11. Privacy

Any information you share with me — logins, business details, personal data — is treated as confidential and will never be shared with third parties.

 


 

12. Support After Completion

Once a project is completed, I’m still here to help.

Additional support, updates or future changes are billed at my standard rate or through a monthly retainer if you prefer.
